You can access the online User's Guide by clicking Help > User's Guide.
You can see and manage contacts (people, organizations, groups, and resources) from the Contacts folder in your Mailbox. Any changes you make in the Contacts folder will also be made in the corresponding address book (Frequent Contacts by default).
Use the Checklist folder to create a master task list. You can move any item to this folder and arrange it in the order you want.
You can create a checklist area in any folder. Click the folder > select Checklist from the Display drop-down list. The checklist area displays at the top of the folder.
You can assign due dates to checklist items.
Use Junk Mail Handling to block or junk unwanted Internet e-mail. Right-click an item from the Internet > click Junk Mail > an option. You can block or junk e-mail from Internet e-mail addresses and Internet domains.
To junk all Internet e-mail from addresses not in one of your personal address books (including the Frequent Contacts address book), click Tools > Junk Mail Handling > Enable Junk Mail Using Personal Address Books.
You can prevent an Internet e-mail address or Internet domain from being blocked or junked by adding it to your Trust List. Click Tools > Junk Mail Handling > Trust List > New.
Use GroupWise Messenger to send instant messages to anyone in your GroupWise Messenger Contact List. This is only available if GroupWise Messenger is installed.
To send an instant message, click File > New > Instant Message. This is only available if GroupWise Messenger is installed.
To display your GroupWise Messenger Contact List, click Tools > Messenger > Contact List. This is only available if GroupWise Messenger is installed.
To specify GroupWise Messenger options, click Tools > Messenger > Preferences. This is only available if GroupWise Messenger is installed.
The Sent Items folder displays all the items you have sent (unless you move them to another folder after sending them). Use this folder to find items you want to resend, reschedule, retract, and so forth.
When you send items in Remote or Caching mode, the number of pending items displays in square brackets to the right of the Sent Items folder. This number displays until the items have been sent.
Item views have tabs where you can make selections, set options, and specify additional information about the item.
In a contact, the Contact, Office, and Personal tabs provide fields for you to modify and add information for the contact in the Contacts folder, Frequent Contacts address book, and other personal address books. 
In a contact, the Summary tab shows basic information about the contact. Developers can write their own XSL style sheets to customize this Summary page.
New fields have been added to contacts for multiple e-mail addresses, multiple instant messaging addresses, home address, personal Web site, office Web site, and birthday.
New fields have been added to organizations for company Web site and primary contact.
You can assign a category to any item, including contacts. Categories provide you with a way to organize your items. 
To add a category, right-click an item > click Categories > More. Type a category name in the bottom text box > click Add.
To add a color to a category, select the category name in the Categories dialog box, then click Edit Color > select a color > click OK. The colors display in the item list and in the Calendar.
You can filter on categories by using the Show menu next to the new Filter icon. This menu becomes available after you have created a category. You can add a Category column heading and sort your item list by category.
You can add a personal subject to items in your item list. Open the item > click the Personalize tab > type a subject in the My Subject text box. This subject displays in the item list and in the Calendar. When you open the item, you can see the original subject.
The new Filter icon is two overlapping circles. When a filter is on, the circles become colored.
The Filter dialog box has been simplified to make filtering easier. The previous Filter dialog box is now the Advanced Filter.
The Calendar has a new header with new navigation and date-choosing controls. The colors in the Calendar have been softened to allow category colors of Calendar items to be more noticeable.
New headers are at the top of nearly every view. These headers provide information about the folder or view you are in.
When you are composing an item and you click Address from an item view toolbar, the address selector is displayed, making it easier to address an item.
If you want to open the system address book, click Address Book in the Main Window toolbar.
The Address Book displays address books in the left pane of the Address Book view. You can expand and collapse each address book by clicking + and -.
In the Address Book, groups display below each expanded address book. Contacts, resources, organizations, and groups display in the right pane of the Address Book view. 
To add names to the group, open the address book so that the group displays > click any address book > drag a name from the right pane to the group in the left pane.
In an item you are composing, you can select a Proxy name or the account from which you want to send this item by clicking the From drop-down list.       
The toolbar at the top of a folder or item is context-sensitive; the buttons provide the options you need most in that location.
To make a local backup copy of your mailbox, click Tools > Backup Mailbox. To see the backup, click File > Open Backup.
To format your appointments in ICAL, click Accounts > Account Options > General Options > Use ICAL When Sending Appointments Via SMTP.
To mark newsgroup items according to your interests, right-click the newsgroup item > click Mark Thread > Watch, Read, or Ignore. You can then filter messages based on thread status.
To undo the last action in an item, click Edit > Undo.
To quickly sort your item list by column, click the column heading.
If you give a proxy Write rights, he or she can apply your signature to messages.
You can view and post newsgroup items from GroupWise. To set up a newsgroup (NNTP) account, click Accounts > Account Options > the News tab > Add.
It's easy to change the routing order of a message or task you are creating. Simply drag the names to the desired order. To create a routed mail message or task, open an item> click Actions > click Routing Slip.
The Quick Info feature gives you additional information about GroupWise users. As you type a name in the To box or click names in the Address Book, Quick Info displays the user's department, fax number, and more.
While addressing an item, you can use Quick Info to quickly scroll through information about each user with the same name. Suppose you know the first name and department of someone you want to send a message to. Open an item > type the first name of the person > when Quick Info displays, press the Down-arrow on your keyboard until you find the appropriate person.
To send an item from your POP3 or IMAP4 account from within GroupWise, create an item > click the From drop-down list > click the appropriate account. You can also click the down-arrow under the Send button > select the appropriate account.
You can use a different signature for each account you use. Click Accounts > Account Options > an account > Properties > the Signature tab. Next, check the Signature check box > type the desired signature for that account > click Automatically Add or Prompt Before Adding > click OK > click Close.
You can print your calendar in HTML format. Click File > click Print Calendar > click the Options tab > check the Print to an HTML File check box > click Print.
You can use Preview to view different Print Calendar formats and options. Click File > Print Calendar > select the desired options on the Form, Content, and Options tabs > click Preview. When you are satisfied with the calendar, click Print.
You can switch to a different mode for running GroupWise using the drop-down list in the header above the Folder List. You can choose from Online, Caching, and Remote. Depending on which mode you choose, you might be prompted to restart GroupWise.
Caching mode lets you work from your hard drive without being continuously connected to the network. To set up a caching mailbox, click Caching from the drop-down list in the header above the Folder List > specify a directory > click OK.
Working in Caching mode on a laptop, for example, lets you disconnect from the network. When you are finished working in Caching mode, simply reconnect the network connection. You will be prompted to restart GroupWise.
You can use Notify to send alarms to your pager. Right-click the Notify icon in the Windows taskbar > click Options > the Alarms tab > check the Send to Pager check box > fill in the correct addressing format > click OK. An example format is provided to assist you.
You can quickly delete and purge selected items from your mailbox without sending them to the Trash. Select an item (or multiple items using Ctrl+click or Shift+click) > click Edit > click Delete and Empty.
You can see the keystroke equivalents of many menu options by looking to the right of each menu option. For example, to delete and purge items without sending them to the Trash, you could click Edit > Delete and Empty or you could simply press Shift+Del.
You can print address labels from the GroupWise Address Book. Open the Address Book > select the user(s) > click File > Print > Selected Items > OK > click the Form tab > click Labels. You can choose which fields to display, preview the labels, and finally print them.
You can print a list of individual users' personal information. Open the Address Book > select the users you want to print information for > click File > Print > Selected Items > OK > click the Form tab > click List. You can choose which fields to display, preview the list, and finally print it.
You can arrange address book columns differently from the way the columns are arranged by the owner of the shared address book. Simply drag a column heading to another position.
When you create a vacation rule to reply to incoming items, Reply to All is disabled to avoid mass messages being sent when the rule is activated. For detailed information about creating a vacation rule, click Help > Help Topics > type vacation in the text box > click Display. Double-click To Create a Vacation Rule.
You can forward an item without embedding it as an attachment. You can also select several items and forward them all at once.
You can change the font (font, font style, and size) of text displayed in the QuickViewer. Right-click anywhere inside the QuickViewer > click Font > Font > make your changes > click OK.
You can use GroupWise to send and retrieve e-mail from multiple POP3 and IMAP4 e-mail accounts.
You can add POP3 and IMAP4 e-mail accounts to GroupWise. Click Accounts > Account Options > Add to add an account.
You can tell you're in GroupWise Remote when you see Remote in the header above the Folder List.
You can change the From address in an item you are sending to a POP3 or IMAP4 account you have added by clicking the From drop-down list in the item > the account name.
You can send and retrieve items from POP3 and IMAP4 e-mail accounts automatically. Click Accounts > Account Options > General Options > select Send/Retrieve All Marked Accounts Every __ Minutes > specify an amount of time > click OK > Close. To quickly turn this option on and off, click Accounts > select Auto Send/Retrieve.
In Remote mode, you can access POP3, IMAP4, and LDAP Internet accounts without connecting to the GroupWise back end server. In Remote mode, click Accounts > Account Options to add and configure accounts.
You can change the e-mail and reply addresses of any POP3 or IMAP4 e-mail account by clicking Accounts > Account Options > selecting the account > clicking Properties > editing the information.
You can create a routed mail message or task. In an item, click Actions > Routing Slip.
If you have installed and are set up to use Entrust or Microsoft Base or Enhanced Cryptographic Provider security software, you can securely sign and encrypt your items with convenient toolbar buttons.
If you have multiple security service providers installed, select the one you are going to use in Tools > Options > Send > Security tab. Depending on the security service provider, you may need to log in.
You can view, import, export, and remove your security certificates in Tools > Options > Certificates. You can also apply for certificates as well as set the default certificate. To perform these actions on security certificates you have received from other users, open a contact > click the Certificate tab.
Use the HTML toolbar to format text or add a background color or image to your items.
You can search for people and e-mail addresses using LDAP directory services. In the Address Book, click the LDAP Address Book > a directory service > type a name or e-mail address > click Retrieve.
If you receive a secure item from another user and don't initially trust the security certificate, you can trust it later by opening the item > clicking File > Security Properties > Edit Trust.
To choose between a plain text and an HTML view when composing an item, open the item > click View > Plain Text or HTML.
If you want to require recipients of a routed item to enter a GroupWise password before they can mark an item Completed, click the Send Options tab in the item view > Security > select Require Password to Complete Routed Item > click OK.
You can change the amount of time your LDAP server searches before timing out. In the Address Book, click the LDAP Address Book > Directories > click the directory service > Properties > the Searching tab > drag the bar under Amount of Time to Search Before Timing Out > click OK > Close.
To leave a copy of POP3 items on the POP3 mail server, click Accounts > Account Options > the account name > Properties > the Advanced tab > Leave a Copy of Messages on the Server.
If the document you want to work on is in use by someone else, you can still look at it in the viewer or open a read-only copy of it in its application.
You can view a list of your new mail messages, tasks, appointments, and so on without opening GroupWise. Just click the Notify icon on the Windows taskbar to open the Notification List. You can leave the Notification List open so you can easily monitor your new items. This is especially helpful if you don't want Notify to interrupt you while you are working, but you still want to check periodically for new items.
You can save mail messages, reminder notes, tasks, and so on as documents in the library. Click the item > click File > Save As, then click Save To GroupWise Library in the first drop-down list.
You can look for items, including documents, that match the criteria you specify using Find By Example. All you have to do is type a sample of the information you want GroupWise to look for in each field on the Find By Example tab. To use Find By Example, click Tools > Find > the Find By Example tab.
You can delete a large group of documents using the Mass Document Operations Wizard. In Online mode, click Tools > Mass Document Operations > Delete.
If Document Echoing is turned on, a copy of each document you work on is automatically echoed to your Remote Library. This means that when you use Remote or Caching mode, you'll have access to all of the documents that you've been working on recently. Click Tools > Options > double-click Documents > click the General tab.
It's easy to find out the status of a document. Click the document reference > File > Properties. The status of that version of the document appears at the very bottom of the dialog box and includes the name of the person who has the document open or checked out.
You can turn Integrations on or off for individual applications. This means you can integrate GroupWise with Word, without having to integrate GroupWise with Excel. Click Tools > Options > double-click Documents > click the Integrations tab.
You can specify how many document references you want GroupWise to store in your Documents folder. By default, GroupWise keeps fifty, but you can specify more or less. Right-click the Documents folder > click Properties > click the Documents tab > specify the number of documents you want GroupWise to display in the folder.
If you have multiple versions of a document, you can specify the official version of the document in the Versions List. Click the document reference > Actions > Version List > click the version > click Actions > Mark Official Version.
You can create a document reference to a document in the library. Click File > New > Document Reference. If you don't know the document number, click Find to search for the document.
You can specify when you want GroupWise to insert a document reference in your Documents folder. By default, GroupWise inserts a document reference in the Documents folder each time you open, create, view or import a document. To specify when GroupWise adds a document reference to your Documents folder, right-click the Documents folder > click Properties > the Documents tab. 
You can find out who has been opening, editing, or copying your documents. Each document activity (opened, deleted, checked out, and so on) is recorded in the activity log. If you have rights to the document, you can view the document activity in the Activity Log. Click the document reference > File > Properties > Activity Log.
You can see all the versions of a document in the Versions List. Click the document reference > Actions > Version List. All versions of the selected document are listed.
You can specify which library you want to be your default library. Click Tools > Options > double-click Documents. In the Library Names list, click the library you want to be your default > click Set Default. You can change your default library at any time.
You can change the status of a document. For example, if you try to open a document and GroupWise says you have the document open, but you know you don't, you can use Reset Document Status to change the status to Available. Right-click the document reference > click Reset Document Status.
You can move, change, and remove fields from the Document Properties tab. Using the Property Configuration tab in Library Setup, you can specify which fields you want to appear on the Document Properties tab. You can also specify the size and location of each field. Click Tools > Options > double-click Documents > click the library > Properties. 
It's easy to locate the documents that you've been working on recently. Click the Documents folder. The documents folder contains a reference for each document you've opened, viewed, or edited.  
You can change the subject, author, or any other document properties for a group of documents using the Mass Document Operations Wizard. In Online mode, click Tools > Mass Document Operations > Change Properties.
You can use Shared Folders to share project documents with your team. When you put a document in a shared folder, all the people who have access to the folder automatically have View rights to the document.
You can import folders of documents into a GroupWise library. Click File > Import Documents > Add Entire Directory, or you can drag a folder from Windows Explorer into GroupWise.
If you usually share your documents with the same people, you can specify default sharing rights for all the documents you create. GroupWise applies the default sharing rights you specify to each document you create. Click Tools > Options > double-click Documents > click the library > Properties > Sharing Defaults.
You can store documents that you and others in your organization commonly use, such as expense reports, travel requests, and so on, with a Template document type. These documents will appear in the GroupWise Templates list (in File > New > Document) so that you can select them each time you create a document.
You can move a group of documents to another library using the Mass Document Operations Wizard. In Online mode, click Tools > Mass Document Operations > Move.
If someone has left the company, the librarian can use the Mass Document Operations Wizard to reassign all of his or her documents to someone else by changing the Author field. In Online mode, click Tools > Mass Document Operations > Change Properties. 
Sending a document to others is a simple step, whether the person is in your group, in another part of your company, or your mom at home. When you attach a document to a message, those with rights to your document in the library will be able to access the document through the library, while those without rights will get a copy of your document.
Downloading documents in Remote mode can take up a lot of space on your hard drive. You can see which documents you have stored on your hard drive and delete them to free up disk space. In Remote mode, click Tools > Manage Library Size.
The Librarian user (a user the system administrator has given Manage rights to) can move, copy, delete, change sharing rights, or change the properties of all the documents in a library using the Mass Document Operations Wizard. In Online mode, click Tools > Mass Document Operations > Change Properties.
You can make all the documents you create public. All you have to do is give the <General User Access> entry full rights by default.  When you do this, GroupWise will give everyone who has rights to the library full rights to each document you create. Click Tools > Options > double-click Documents > click the library > click Properties > Sharing Defaults.
It's easy to restore specific versions of deleted documents. You'll find the complete path and filename to the document's BLOB in the activity log of the deleted document (as long as the field "Filename" appears). Click the document reference > File > Properties > Activity Log to see the filename. After you've restored the file, just import the document as a new version.
You can spell-check your messages automatically before sending them. Click Tools > Options > double-click Environment > select Check Spelling Before Send.
GroupWise has several predefined Find Results folders you can use. Click File > New > Folder > Find Results Folder > Predefined Find Results Folder.
If you want your name included in the To box of appointments you schedule, select the Include Myself On New Appointments check box on the Calendar tab in Date Time Options.
You can display week numbers on your calendar views. Select the Show Week Number check box on the Calendar tab in Date Time Options.
You can quickly switch between different calendar views without leaving the Main Window. Click Calendar in the Folder List, then click the Calendar toolbar button for the view you want.
You can accept appointments tentatively by opening the appointment, clicking the down-arrow button next to Accept on the toolbar > Accept Tentative > OK.
GroupWise saves the criteria from previous Finds. In the Find dialog box, click the down-arrow on the top-left text box on the Find tab. 
You can copy a name from one address book to another. Drag it from the source book and drop it on the target book. 
You can tell two identical names apart in Name Completion. Open the Frequent Contacts address book and give one of the names a different Display name.
You can turn off Name Completion. In the Address Book, click File > Name Completion Search Order > then select Disable Name Completion. 
You can make your Find run faster by deselecting any folders and libraries you know don't contain what you're looking for.
You can click the Display drop-down list on the toolbar to select what kind of items you want to display in your Mailbox or folder.
You can click an item and press Ctrl+Q to read it in the QuickViewer.
You can look in the Documents folder for your most recent documents. The two subfolders contain the documents you have authored in any library and all the documents you have rights to in your default library. You can also create your own Find Results folders to help you find and sort your documents.
You can send a message to everyone on your post office by typing an asterisk (*) in the To box. Your system administrator may restrict your ability to do this. 
All unread items are bolded so you can easily notice them.  
You can reorganize the folders in your Main Window. Just click a folder in the Folder List and drag it to a new location.
You can create unique display settings for your folders. For example, you can choose the columns you want to display, the order and size of the columns, and the sort order. To create a display setting, right-click a folder > click Properties > the Display tab > the settings you want > Save As.
Icons show you the status of incoming and outgoing items.  For example, a mail message with an open envelope is a message you have opened. 
To find out who declined an appointment, right-click the appointment in the Sent Items folder > click Properties.
You can change a mail message in your Mailbox to a task and vice versa. Click the item > click Edit > Change To.
You can attach a file to an item from the desktop or Windows Explorer. Drag the file onto the New Mail button on the GroupWise toolbar to open a new mail message with the item attached.
You can use folders to share information with your team. Create a shared folder, then use it to store project documents and messages. To share a folder, right-click the folder > click Sharing > Shared With > enter the names of the people with whom you want to share the folder contents.
You can hold group discussions in a folder you share with your project team. To display the e-mail discussion of an item and all its replies grouped in hierarchical order, right-click the shared folder > click Properties > click the Display tab > View By > Discussion Thread.
You can access usernames without even opening the Address Book. When you begin typing a user's actual name in the To, CC, or BC boxes the Address Book tries to "guess" the name you are typing, and places that name in the address box.
It's easy to put documents into shared folders. Just drag the document directly from wherever it is (any folder, Windows Explorer, or the desktop) to the shared folder in GroupWise. If you want the option of copying or moving the document, drag the document using the right mouse button.
Sending files is easy. Right-click any file on your desktop or Windows Explorer > click Send To > GroupWise Recipient. GroupWise opens a send view with the file already in the attachment window. Simply fill in the recipient's name and click Send on the toolbar.
You can keep others from scheduling you for meetings by marking off a block of time in your Calendar. Click the down-arrow next to the New Appointment button on the toolbar > click Posted Appointment.
You can arrange to get a receipt for a message you send from GroupWise. Open a new message > fill in the information > click the Send Options tab > Status Tracking. Click Mail Receipt in the When Opened drop-down list > click OK. Send the message. When somebody opens it, GroupWise sends a message to let you know.
You can change an item in your Mailbox into another item type. For example, you can change a mail message into a task. Click the message in your Mailbox > click Edit > Change To > Task. GroupWise changes the mail message to a task, then puts it on your Calendar. Any message text or attachments are still attached, and you can add any comments you want.
The Address Book can be sorted by several fields, like Department or E-mail Address. Open the Address Book > drag the Department (or another) column to the first position > wait for the entries to reorganize > type the department name you're looking for.
QuickViewer can save you time when you have a full Mailbox. You don't need to open each item individually; simply click an item or press the Down-arrow to move to the next message. If you click a document reference, the document appears in the QuickViewer.
GroupWise can tell you when you have mail. To run GroupWise Notify, click Start on the Windows taskbar > click Programs > GroupWise > GroupWise Notify. Better yet, create a shortcut on your desktop, or put GroupWise Notify in your Startup folder.
You can mark items Unread. Right-click the message > click Read Later. The envelope icon next to the item will remain closed and the item will be bolded, so the next time you're in your Mailbox you'll notice you need to finish reading the message
GroupWise can add signatures (such as name, title, and so on) to items. To automatically add a signature to every message you send, click Tools > Options > double-click Environment > click the Signature tab. Type your tag line in the box. Choose whether you want to be prompted for the signature every time, or if you want GroupWise to add it to every message > click OK > Close.
If you're too busy to accept tasks or appointments, you can delegate them. Click the Delegate button on the toolbar > type a co-worker's name > click Send on the toolbar. The original sender can see that you have delegated the item by checking the sent item Properties.
You can save e-mail messages and edit them later. Open a new message > partially fill in some boxes. Click File > Save Draft > pick a folder to save it in (most people use the Work in Progress folder). Later, when you're ready to finish the item, find the message in the Work in Progress folder, complete, and send it.
You can delay the delivery of anything you send. Before you click Send, click the Send Options tab > Delay Delivery. You can specify the date when you want the message delivered or you can specify a certain number of days after today when you want your message delivered. Click Send on the toolbar.
You can subscribe to another person's notifications and alarms, as long as you have Proxy rights. Click Tools > Options > double-click Security > click the Notify tab. Type the person's name in the Name box > click Add User. Make sure his or her name is selected in the Notification List > select Subscribe to Alarms and Subscribe to Notification > click OK.
You don't have to click the toolbar again to open a new view after you send an item. Click Tools > Options > double-click Environment. On the General tab, select Open New View After Send > click OK. From now on, when you send a message, a new, blank message will appear, ready to send.
If you ever wondered whether you set an alarm for an important meeting, try this: click Tools > Options > double-click Date & Time > make sure the Calendar tab is displayed > click Set Alarm When Accepted. GroupWise will now set the alarm for every meeting you accept.
You can save time and access most GroupWise features from the menus that appear when you right-click. Right-click in the Folder List. Look at the options: New Folder, Delete, Rename, Sharing, Properties. Try right-clicking the Item List. Depending on where you click, you get options as diverse as Open, Print, and Read Later, or Import Documents, Filter, and View As Calendar. 
You can hide the subjects in e-mail messages. Create a new message > click the Send Options tab > Security > Conceal Subject > OK. Now the subject only appears when the recipient opens the message. In the Item List, the message will not display a subject.
You can save a rule for future use. For example, if the rule you used while you were on vacation worked well, don't delete it when you get home. Instead disable it by clicking the check box next to the rule in the Rules dialog box. That way the rule will still be there when you want to enable it before leaving on your next vacation.
You can save your filters and even add them to the Filter menu (two overlapping circles) on the Item List header in your Mailbox. Create a filter > while you're in the Filter dialog box, click Filter > Save. Type a name in the Save As box > make sure Put On Menu is selected > click OK twice. When you want to use one of your filters, just click it in the Filter menu list.
GroupWise has ready-made filters. For example, to temporarily hide everything else and just display your resources, open an address book > click the View menu > Filter for Resources. You can also filter for contacts, groups, and organizations.
You can stop GroupWise from using Name Completion to "guess" the user you're trying to type in the To box. Press Delete > type a comma.
When you double-click an attachment, one of three things happens: the attachment opens in the GroupWise Viewer, the attachment displays in the current item window, or the attachment opens in the associated application. To change what happens when you double-click an attachment, click Tools > Options > double-click Environment. Click the Default Actions tab > select an option under Attachments.
You can drag a folder to a specific location in the Folder List. Drag the folder using the right mouse button. When you release the folder, a menu appears that lets you decide where you want the folder displayed in the list: above, below, or inside.
You can request a reply for a mail message you send. When you're creating a new message (mail or phone), click the Send Options tab > Reply Requested. Click When Convenient or specify a deadline. Your message arrives in the recipients' Mailboxes accompanied by an icon which indicates the reply request.
If you don't have a sound card in your computer, you can still receive an audible notification of new items. Right-click the Notify icon in the Windows taskbar > click Options > Notify. Click Play Sound in one of the priority boxes. If no sound file is selected, Notify displays <BEEP>, which indicates that a system beep will sound when you receive a new item.
Because of its emphasis on security, GroupWise does not grant others access to documents by default. If you want to grant access to a document, click the document reference > File > Properties. Click the Sharing tab. Click Shared With > in the Share List, click General User Access. Click the check boxes below the list to grant the rights you want everyone with access to the library to have. 
Windows lets you add characters to your mail messages. For example, to insert a bullet into a message, press Alt-0149. (The numbers must be typed from the keypad.) You can also open the entire Character Map. Click Start on the Windows taskbar > click Run > type charmap > click OK. The font in your message and the character map must be the same so you can see which characters are available.
You can spell-check in other dialects. Create a new message > click Tools > Writing Tools Language > click a dialect. The dialect you choose remains selected until you choose another dialect, or until you exit GroupWise.
You can change the default font for messages. Right-click your Windows desktop > click Properties > the Appearance tab > Advanced. In the Item drop-down list, click Message Box. Choose a font, size, and color. Click OK. From now on, when you open messages in GroupWise, the font you chose will be displayed. In fact, error message and message box text in all of your Windows programs will appear in this font.
You can open both your Mailbox and a proxy's Mailbox at the same time. Open your Mailbox > click Window > New Main Window. Open your proxy's Mailbox in one of the windows, and keep your Mailbox open in the other.
You don't need to right-click an attachment in the Attachment window to save multiple attachments. Instead, click File > Save As. In the Items to Save window you can Shift+click or Control+click the attachments you want and save them all at once to the directory of your choice.
You can track the mail messages you send. Click your Sent Items folder to open it > find the message in question. Right-click it > click Properties, and you'll see when it was delivered, when it was opened, when it was deleted, even when it was emptied from the Trash. You can track the status of every item you send, within your GroupWise system. (Messages transferred to the Internet can't be tracked.)
You can post a comment about a document in a shared folder. Right-click the document > click Reply. You can display the document and all its replies in hierarchical order: right-click the folder > click Properties > the Display tab > View By > Discussion Thread.
You can import a file from your desktop or Windows Explorer into GroupWise Library. Right-click the file > Send To > GroupWise Library, or drag the file from your desktop to your Mailbox. Using either method, you can find the file in your Mailbox as a document reference.
GroupWise remembers your last Main Window settings, and displays them the next time you open GroupWise. These settings include, for example, window size preference.
You can store any type of file in GroupWise Library. For example, you can store text documents, spreadsheets, applications, and so on.
To send a document to another user, right-click the document reference > click Forward as Attachment.
If you create a lot of documents, you can specify default values for system fields such as Author, Document Type, Subject, and any custom fields you might have. GroupWise applies your defaults to each new document you create. Click Tools > Options > double-click Documents > click Properties > Document Defaults.
You can create a new version of a document, so you can modify the document while keeping the original version intact. Right-click the document reference > click New Version.
When you've integrated your applications with GroupWise, you can open documents in the library from any ODMA-enabled application (for example, Microsoft Word, Corel WordPerfect, Microsoft Excel). In addition, you can save your edited documents as new document versions in the library from within your application.
When you need to work on a document at home or on the road, you can check out the document, which prevents other users from editing it while you're away. Click the document reference > Actions > Check Out.
You can share multiple documents with other GroupWise users by importing the documents into GroupWise. To import a document, click File > Import Documents. Once you've imported the document, just drag it into a shared folder. This gives everyone with rights to the folder View rights to the document.
You can display the properties of an item in the Main Window by clicking the item and pressing Alt+Enter.
You can search for specific documents and items. Click Tools > Find. You can save the search results in a folder by clicking File > Save As Folder. Each time you open the folder, GroupWise updates the folder with the latest items that match the search criteria.
You can use the Author folder in your Documents folder to find all the documents for which you are the author. Click the Documents folder > click the Authored folder.
Using Name Completion, GroupWise often finds the name you're looking for before you finish typing the entire name in an item's To box or in the Address Book. You can also press the Up-arrow or Down-arrow to move through the previous or next names.
When you type a name in the To box and press Enter, a list drops down. You can delete, edit, get information, cut, copy, or paste names to this list by right-clicking a name from the list and selecting an option.
When you send and receive items, GroupWise adds the recipients' and senders' names to the Frequent Contacts book in the Address Book. Frequent Contacts also keeps track of the date and time of the last communication and the number of times you have communicated with a user.
You can add information to the address entries in the Frequent Contacts address book. To add postal address information, phone numbers, and so on to existing entries, open the Address Book > click the Frequent Contacts address book > double-click a name > edit the information on the different tabs.
You can add personal addresses to the Frequent Contacts address book. To add new names and information, such as Internet or internal office addresses, open the Address Book > click the Frequent Contacts address book > click New on the toolbar.
Every time you type in the To box of an item you're sending, GroupWise searches the Address Book for the closest match. GroupWise searches the Address Book in the following order: the Frequent Contacts address book, the default personal address book (if you've opened one), and the system address book.
You can create your own personal address books with the names of anyone you want--even someone without an e-mail address. To create a personal address book, open the Address Book > click File > New Book.
The system address book sorts only by the first column. Drag the column you want to sort by and drop it in the first column position.  For example, if you want to sort by department instead of name, drag the Department column to the first column position.
Your personal address books sort from the left to the right columns. To sort by department first, and then by name, drag the Department column to the first column position > drag the Name column to the second column position.
You can read and send messages with a preferred view. To set your default views, click Tools > Options > double-click Environment > click the Views tab > select your preferred views for each item type > click Set Default View.
If you're scheduling a large group meeting and there isn't a free time for all participants, use Available Times to find the best meeting time for key participants. Click Tools > Busy Search > add the meeting participants > click OK > the Available Times tab.
To sort the Item List in the Main Window by a different column, click the column heading.
You can display more columns in your Main Window. Right-click a column heading > click a listed column heading.
You can display a complete list of columns and select the ones you want to display in the Main Window. Right-click a column heading > More Columns.
The buttons on your toolbar can be displayed with both picture and text. Right-click the toolbar > click Customize Toolbar > click Picture and Text or Picture and Selected Text on the Right.
You can use a shared folder like a bulletin board to share information with selected people, start a discussion, post announcements, store a log of events, and more.  To share a folder, right-click the folder > click Sharing > Shared With > enter the names of the people with whom to share the folder comments.
You can stay connected even when you're away from the office. To create a Remote Mailbox on your docked laptop so you can continue to send and retrieve messages while you're on the road, click Tools > Hit the Road.
Notify alerts you when you receive an item, when items you sent are opened, and when an appointment is upcoming. Notify is open when a globe icon appears on your Windows taskbar.
There is no limit to the number of people you can proxy for. To proxy a user who has given you Access rights, click File > Proxy.
Many GroupWise windows can be resized. You can change the size of a window by dragging the corners or borders.
You can add a button to your toolbar. Right-click the toolbar > click Customize toolbar > the Customize tab.
You can view all the documents that you have rights to in your default GroupWise library by clicking the Documents folder > the Default Library folder.
When you open an item, you can move your insertion point from one text box to the next by pressing Tab.
You can insert a tab in a message. Press Ctrl+Tab.
You can mix your comments with a sender's message when you reply to an item.
Click Reply on the toolbar > select Include Message Received From Sender > click OK > add your comments. To differentiate your text from the original text by using bold, underline, italics, or by adding color to your comments, click Edit > Font.
You can create documents with your favorite applications without leaving your Mailbox. To create and store documents in your Mailbox, click File > New > Document.
You can indicate paydays or any recurring reminders without sending separate reminder notes to yourself. Click File > New > Reminder Note, then click Actions > Auto-Date.
Your proxies can't read the items that you mark Private, unless you give them rights to open private items. In your Mailbox, click the item you want to keep for your eyes only > click Actions > Mark Private.
Your Mailbox shows received items by default. To view your sent items, click the Sent Items folder.
You can dismiss an alarm notification and have it alert you five minutes later. If you are busy when an alarm notification appears on your screen, click Snooze and the notification will go away and reappear five minutes later. If you don't want the alarm notification to return, click Clear.
